From an attachment to a decision, not just a number
A laser cutting inquiry rarely arrives as a complete specification. An email may contain a drawing, a few quantities and a requested delivery date. Thickness may appear only in a filename, material in an earlier message and the latest revision in a later attachment. Before entering a rate, an estimator must assemble a dependable brief. Confirmed requirements, working assumptions and unanswered questions need to remain distinguishable. A calculation can be mathematically correct while still pricing the wrong order.
KOVOSYS is a browser-based workspace for that preparation. It connects inquiries, attachments, parts, material rates and calculation results, with DXF processing and layout previews. Keeping those elements together helps explain which geometry was used, how many copies were counted and what determined the material component. It is not presented as a universal replacement for CAD, a complete enterprise resource planning system or an automatic controller for the workshop.
Evaluate the benefit through a real handover. Can another estimator identify the source drawing, check quantities and explain a changed result? Producing a number quickly is not enough if incomplete information creates additional corrections later. The purpose of this guide is therefore to describe both the available preparation steps and the decisions that remain with the people responsible for technology, commercial scope and customer commitments.
For jobbing metalwork built around 2D sheet parts
The core use case is custom production of flat sheet metal parts. An estimator receives two-dimensional geometry, chooses a material and thickness, confirms quantity and prepares a cost estimate. Recurring questions are closely connected: is the drawing complete, do dimensions make sense, do the required copies fit the proposed sheet, and which area should the customer actually pay for? KOVOSYS focuses on bringing those questions into the same preparation process.
Suitability depends more on the nature of the work than on headcount or machine brand. A workshop cutting repeated brackets has different needs from a business handling varied assemblies and several downstream operations. Begin an evaluation with simple closed DXF parts whose expected outcome is already known. That makes it easier to distinguish an input error from a rate configuration issue or a difference in calculation method.
Tube laser cutting, universal conversion of three-dimensional models, planning an entire factory and integration with every accounting system are not promises made here. Bending, welding, deburring, coating, packaging and transport must be assessed separately when included in the delivery. A price for a laser-cut blank is not automatically a price for a finished assembly. Define that boundary before the customer relies on the final total.
Make the specification consistent before calculating
Identify the valid file and define what counts as one ordered item. A DXF can contain one part, several distinct parts or an earlier layout. The number of detected contours is not necessarily the number of saleable items. Check filename, revision, units, material, thickness, required quantity and any orientation restriction. A filename is a useful clue, but it is not independent confirmation of the information it appears to contain.
Consider an illustrative request for twelve sets of brackets. The attachment contains a left and a right version. Before assigning quantities, confirm whether each set includes both parts and whether their shapes are genuinely different. Confusing twelve sets with twelve individual blanks cannot be corrected by selecting a more accurate hourly rate. The meaning of the order must be clear before nesting or material charging begins.
The application provides a place to work with attachments and part information; automatic processing cannot guarantee their factual correctness. Ask the customer to resolve ambiguity and keep important assumptions associated with the inquiry. A colleague taking over should be able to see what was ordered and what was only a working option. This discipline prevents precise calculations being built on an incorrect specification, even without sophisticated integrations.
DXF is an input, not proof of manufacturability
DXF processing supplies information for dimensions, path lengths and pierce counts, together with a preview. Compare that output with expectations. Check the largest dimension, distinct part count, internal holes and the separation between cutting geometry and other drawing content. If a normal bracket appears as a tiny dot or an enormous shape, investigate scale first. Changing the material price will not repair a unit conversion error.
Some geometry requires extra caution. Current spline length processing uses distances between control points, which is not generally the exact length of the actual curve. Open contours, duplicate lines and ambiguous entity grouping can also change interpretation. KOVOSYS is not advertised as an error-free converter for every CAD file. Compare critical dimensions and lengths independently or request a more suitable, confirmed export from the drawing author.
A preview helps reveal obvious problems but does not replace technological inspection. A coincident line may be invisible at ordinary zoom, and an open contour may look closed. If the input cannot be evaluated confidently, treat the result as a working estimate. Decide whether an amended drawing, an independent check or an explicit quotation condition is needed before issue. Extra decimal places cannot turn uncertain geometry into verified evidence.
Your production process needs your own rates
Cost estimation depends on material parameters and time pricing. Important inputs include time per millimetre, time per pierce, hourly rate, time allowance, areal mass, price per kilogram and preparation. Each has a distinct meaning. Material price does not explain processing time, and an hourly rate does not determine cutting speed. Review the unit and intended thickness range of every parameter when configuring the first calculation.
Default or illustrative values are not validated instructions for your workshop. The same alloy and thickness can behave differently on different equipment, with quality requirements and contour characteristics affecting the outcome. Start with known jobs and explain differences against your existing evidence. Calibration should correct an identified assumption, not merely adjust a coefficient until one convenient final number appears.
Take particular care with reciprocal units. Seconds per millimetre are not millimetres per second. Areal mass may already include thickness, depending on its definition. Record the reason and date for rate changes. The application stores a pricing snapshot of parameters used in a calculation, helping identify its basis. That snapshot does not prove the entered values were correct or provide a complete archive of every commercial decision.
Separate cutting, material and selling price
The basic time model combines path length multiplied by time per millimetre with pierce count multiplied by time per pierce. After a time allowance and conversion from seconds to hours, the hourly rate is applied. Material uses a different basis: charged area, areal mass and price per kilogram. Preparation is another component and should not be multiplied by the number of parts without understanding what it represents.
Two jobs with the same net part area can have different cutting costs if one contains many holes and short segments. Similar-looking layouts can also produce different commercial material charges when the business accounts differently for a whole sheet and a reusable remnant. Compare the individual components rather than only the final total. A difference can then be traced to a specific input or charging rule.
A technical cost estimate is not automatically the amount offered to a customer. A selling price may include other verified costs, margin and agreed terms. The customer document must match the actual delivery and avoid unintentionally revealing internal rates. Preparing a quote and deciding whether the job is commercially acceptable are separate activities. The dedicated laser cutting cost estimation guide explains the relationships and includes an explicitly illustrative worked calculation.
Use nesting to investigate material consumption
Part placement influences the material component, but a colourful preview does not prove a saving. KOVOSYS includes layout preparation and visualisation. The optimiser can use different methods and may fall back to bounding rectangles. Read the result alongside placed quantities, sheet size and the constraints actually applied. No claim of a mathematically best arrangement or guaranteed lowest material consumption is made.
Before using a result, confirm that no part disappeared, no extra copy appeared and every placement stays within the usable area. Assess gaps against actual contours rather than only auxiliary boxes. Brushed finishes, protective film and later forming can restrict rotation. A smaller layout area is not a valid manufacturing argument if the arrangement ignores such a requirement. Commercial preference does not override the physical conditions of the material.
A remnant has value when it can genuinely be reused and identified. Scattered empty space is not equivalent to one usable rectangular piece. Automatic allocation of a whole large order across several sheets and full remnant inventory management are not presented as completed capabilities. The sheet metal nesting guide distinguishes net area, bounding area, occupied area and whole-sheet area so that reported utilisation is not confused with demonstrated material savings.
Turn a checked calculation into a customer document
KOVOSYS has a customer quotation workflow linked to a saved calculation. A draft document is not simply a screenshot of an internal estimate: commercial information must be completed and checked. Review supplier, customer, quotation number, delivery scope, currency, tax details, validity and terms. Receiving a document number does not make missing business information correct or establish that all obligations have been addressed.
Issuing a quotation, recording acceptance or rejection, and proving delivery to the customer are different events. Confirm the actual method of transmission and its relationship with your company's process. If the calculation changed after a draft was created, use the current basis. Otherwise the customer may be deciding on a version different from the one being evaluated internally.
Do not assume a previous price remains valid for a repeat inquiry. Quantity, material, charged area or rates may have changed. A pricing snapshot helps compare inputs but is not a promise of a complete version archive. Check available history explicitly during evaluation. Retain accepted documents, commercial commitments and evidence of transmission under company rules, particularly when another employee may take over the inquiry.
Keep estimating and production responsibilities distinct
Estimators and production staff need different information at different moments. Estimating concentrates on inputs and price assumptions; production preparation focuses on what must actually be prepared and checked. A company workspace and role permissions help separate activities. Roles do not mean that every internal rule is automatically enforced. Verify access and responsibilities using the real account types that will participate.
A useful handover identifies the valid drawing, material, thickness, quantities, surface direction and unresolved technological questions. It need not be lengthy. What matters is that a worker does not pick an old attachment merely because it sits beside the new one. A changed hole or revised quantity must be understandable in relation to what was quoted and what has already been prepared.
The web application does not take responsibility for a safe machine start. A qualified person must determine and approve the manufacturing method, settings and checks in the designated environment. KOVOSYS does not replace CypCut or promise unattended cutting. A layout used for a quotation and an approved machine program are different outputs. Keeping that distinction protects technical safety, delivery commitments and communication with the customer.
Evaluate using jobs you already understand
Select a small but varied set of known jobs: a simple outline, a part with many holes, an inquiry containing several part types and a more difficult geometry. Prepare the valid files, quantities, parameters and existing calculation method. Compare identical specifications, not a new revision with an old price. Separate a changed scope from a changed method before drawing conclusions.
Measure active estimator time, corrections, unexplained price differences and placement completeness. Keep material charging rules and manufacturing gaps consistent. A higher percentage may not indicate lower consumption when its denominator changes or copies are missing. Record specific reasons for discrepancies. Include unsuccessful cases and time spent resolving exceptions, rather than evaluating only the easiest jobs that completed without interruption.
This website does not present invented testimonials, guaranteed savings or independently established superiority over competing tools. Evaluation is how suitability is determined, not a formality after a marketing claim. One successful layout does not establish general performance. Decide whether the result is understandable, repeatable and transferable, and whether your team can recognise the cases that require further checking before a customer commitment.
Drawings are business data
A drawing can reveal more confidential information than its quoted price. Shape, assembly names and correspondence may identify a customer or an unreleased product. Before uploading live documents, establish who operates the service, who can access information, how long it is retained and how deletion works. A sign-in page is not an answer to contractual, privacy or operational questions.
Backups and restoration also need verification. Having a copy does not demonstrate that a complete inquiry, including attachments and documents, can be restored without affecting another company. No unverified recovery guarantees are made here. Agree responsibilities, data processing conditions and how you can retrieve your information. Begin with anonymised or non-sensitive examples that you are authorised to share.
Do not give the whole team one password. Review account access when staff change. If company mail is connected, consider the permissions covering commercial messages and attachments as well as drawings. Automatic handling does not grant permission to share someone else's documents. These checks are part of responsible adoption, not an optional obstacle to digitisation.
A final check before the first quotation
Confirm revision, units, material, thickness and ordered quantities first. Then inspect dimensions, holes, lengths and detected part count. Check whether time parameters and preparation charges suit the specific work. Verify sheet size, allowed orientations, gaps, placement completeness and the area charging rule. Compare cutting, material and preparation separately before reviewing the final customer document.
Be explicit about the output being handed on. A working calculation supports a decision, a quotation states commercial terms, and production preparation needs separate approval. KOVOSYS connects the evidence for those steps without merging all responsibility into one automatic action. The public website is available in English, but sign-in, registration and the private application currently use Czech.
The company plan is CZK 499 monthly excluding VAT, or CZK 603.79 at 21% VAT. A 14-day trial requires no payment card and starts after email verification. Activation depends on working email delivery; paid operation also depends on completing operational, legal and tax setup. Registration alone does not charge money. Read the pricing guide and resolve data handling conditions before using confidential production documents.
Before your first calculation.
Does KOVOSYS replace CypCut or the laser controller?
No. It supports inquiries, cost estimation and layout preparation. Safe machine control, technological settings and approval of a production program remain separate verified steps.
Does any imported DXF produce a final selling price?
No. Check geometry, units, quantities and rates. Splines and ambiguous contours require particular care. A technical estimate is not the same as an approved selling price.
Is this a complete ERP system?
No. The scope is preparation of 2D laser cutting work. Multiple sheets, remnant inventory, additional operations and particular integrations require separate assessment.
Can I upload confidential customer drawings immediately?
First verify and agree operational and contractual terms, operator details, access rights and retention rules. Use authorised, non-sensitive examples for the initial evaluation.
A sound price starts with a traceable process.
